Essential Tools and Supplies for New Notaries

Starting as a notary requires having the right tools and supplies to ensure you can perform your duties effectively. Here’s a list of essential items every new notary should have:

Notary Seal/Stamp

Your notary seal or stamp is used to authenticate the documents you notarize. Ensure it meets your state’s specific requirements.

Notary Journal

A notary journal is crucial for recording all your notarial acts. This log protects you and your clients by keeping a detailed record of your notarial activities.

Acknowledgment and Jurat Certificates

These are the most common notarial certificates. Make sure you have a supply of acknowledgment and jurat forms, as they will be frequently used.

Identification Tools

You’ll need to verify the identity of the individuals whose documents you are notarizing. Having a reliable form of ID verification, like a guidebook or digital app, is essential.

Reference Materials

Keep a copy of your state’s notary handbook and any other relevant legal guides handy. These materials will help you stay informed about your responsibilities and any legal changes.

Notary Bond

Some states require notaries to post a bond. Make sure you have the appropriate bond in place before you start practicing.

E&O Insurance

Errors and omissions (E&O) insurance is highly recommended. It protects you from potential legal claims arising from mistakes or omissions made during notarizations.

Equipped with these essential tools and supplies, you’ll be well-prepared to perform your duties as a notary public effectively and professionally. Remember, maintaining the integrity and legality of notarized documents is paramount, so investing in quality tools and staying informed about legal requirements will benefit both you and your clients.
